    Please read the document below with the introduction to Support Systems. This is how Sales supports Production and Accounting Departments by giving all the tools they need to do their work. The first piece of Putting all the Pieces of the Business Puzzle Together.

    Contract Packet


    The Contract Packet contains all the information about what was sold to a client. It is gathered by the Sales Department and then given to both the Production and Accounting Departments. Each department has the right information to do their work. Now each department does it’s job more effectively, quicker, and with less fumbling searching for the information.


    Each potential client that becomes a client will have a physical copy of the Client Profile.
    This Client Profile Contact Template spreadsheet is used for the computer version of the contact information. This will help both the Production and Accounting Departments have all the contact information on the client.

    This Client Profile Checklist Spreadsheet is used to track all the work that has to be done for each new client. It will help Sales know where it is with the information gathering.

    Parameter Sheets


    Parameter Sheets are one-sheet summary of information extracted from a signed contract. The sheets are used to help the Production and Accounting Departments complete their work. Please find out more about them by reading this PDF summary.


    These next two documents are the parameter sheets.

    The first of two parameter sheets is used for the Accounting Department. The document is in a word document format that can be used with QuickBooks and can be edited to fit your company.

    The second document is used for the Production Department. The document is in an Excel format and also be edited to fit your company.

    By simply using both the Production Parameter Sheet and the Accounts Receivable Parameter Sheet you will find clear and concise interdepartmental communication.

    Pre and Post Season Work-orders


    The objectives of these work orders are for your company to fully understand the scope of work of a site BEFORE the first snowflake hits the ground. These work orders also help the owner of property or the manager by clearing up issues with both the contract and the manager’s needs or wants.

    There are three pre-season work orders and 2 post-season work orders.

    These three snow pre season work orders help complete the client profile.  The work orders will help the company understand the site contract parameters, prepare the site for production, and meet with the site manager to clear any contract and billing issues.

    You can edit the document version to suit your business.

    This first Pre-season Snow Work Order will prepare the site for your crew during snow events:

    This second Snow Preseason Site Salesperson work order is for the salesperson and the property manager to review the property, the contract, and update the client profile:

    This third Snow Pre-season Work Order is for any Equipment – Material Drop Off that needs on the site This work order will help deliver the equipment and the materials needed to a site before the season begins:

    The Pre Season Flow Chart below illustrates the 8 steps to take to schedule and complete the three work orders.

     

    The last two work orders are for the post season.  They will help your organization with closing a site down for the season.

    This fifth Snow Postseason work order helps with the Equipment – Material Pick Up.  This work order picks up the equipment, materials, and stakes on the site after the season has been completed.

    And the final Snow Post Season Work Order is the assessment of the any site damage as well as repairing of any of the damage.


    By using all these Pre and Post Season Word Orders you will find your production team will run a lot more smoothly. There will be less hassles, issues with clients and damage to the property when properly set up.

    It also helps you know that the work you’ve been contracted to do will be carried out correctly within the budget and you’ll actually make a profit at the end of the season.
